What’s a cloud-based phone system?

“Cloud-based” means that the core technology infrastructure and global network providing the business phone and fax system functionality is located in our multiple secure data centers and delivered to your business over the web. This eliminates the need for capital investment and the hassle of installing and managing complex hardware in your office.

What is the difference between IPFONE Office and IPFONE Mobile?

IPFONE Office is a complete business phone and fax system that includes phone service (phone lines so your phones have dial tone) and offers pre-configured business-class IP Phones. It’s ideal for businesses with one or more office locations. IPFONE Office provides a complete business phone and fax system with a reliable, inexpensive phone service and phones.

IPFONE Mobile is a virtual business phone and fax system that is ideal for businesses who want to use their existing phone service and phones or mobile devices as their primary devices. You still get the benefit of a cloud-based business phone system but are receiving and making calls on your existing phones and phone service.

Setting up your phone system

How long does IPFONE Office take to activate?

Your account and phone number are activated immediately and your phones will arrive in 5 to 7 business days (depending on shipping method).

What’s involved in setting up my IPFONE Office business phone system?

There is no PBX hardware to install or technical contractors needed for an onsite setup to start using your phone system. Once you’ve purchased IPFONE Office, it’s instantly activated so you can immediately receive calls and customize your auto-receptionist, answering rules and virtual extensions from your online account. When your IP phones arrive in 5-7 business days, you simply plug them in and can begin making outbound calls.

We also have Account Specialists available to help you setup your system and show you how easy it is to use the advanced call management features.

Do I need special equipment or a router to make this work?

No additional telephone lines, PBX hardware or installation is needed. IPFONE will work with any high-speed, stable internet service and requires a minimum of 64kbps of bandwidth per call. You need a router that will make the internet connection available to your phones/devices.

For best voice quality, we recommend a router that is QoS (Quality of Service) enabled. By configuring your QoS router to prioritize the voice traffic over other internet traffic, you’ll experience better voice quality when your internet is being used for other activities (e.g. downloading large files, watching online videos, etc).

Do I need to adjust my network router settings?

To ensure voice data can flow through your network router, we recommend enabling port triggering from within your router’s configuration pages.

If using IP Phones, enable port triggering:
5060-5090, Type: UDP
16384-16482, Type: UDP

If using the Call Controller, enable port triggering:
5060-5090, Type: UDP
8000-8200, Type: UDP

If you are using multiple Call Controllers on a single network, we also recommend you change the local port number from within each Call Controller.

On your Call Controller, go to Menu->Options
Expand the Account Information tab on the left and click on Connection
Change the Local Port value from 5060 to another available port between 5060-5090. The port number you select should not be used by another Call Controller.

What are the minimum system requirements?

Since your phone system is in the cloud and delivered online, the only equipment you need in your office are the IP phones and the router with internet connection.

For use of the RingCentral Call Controller and Microsoft integration, you need the following specifications:

Windows XP, Vista, 7

Pentium or above processor or compatible
Minimum of 512MB of memory
200MB of hard drive space

Mac OS 10.4 Tiger or latest

G4 500 Mhz or any Intel processor
512 MB of memory
30 MB of hard drive space

What happens when internet or power goes down?

Use your mobile phone as one of your forwarding numbers so even if your office internet or power is lost, your calls can still be made and received from your cell phone and even show your business number (RingOut, RC Office iPhone app). Mobile VoIP is a new technology allowing you to route make and receive VoIP telephone calls using your cellular smartphone. By using this technology, local, long distance and international calls are made using VoIP rate, and not expensive cell phone rate or minutes. Mobile VoIP calls can be made to and from anywhere in the world, often as a local call, where there is an internet, Wi-Fi, or cellular data service available.

As more and more businesses are operating with a mobile workforce using this technology has great advantages. An employee can have his personal cellular telephone for his personal use and also integrate it to his office phone. When a business call comes in it routes through his desktop and to his cell phone. If the employee wants to a customer call from his cell phone – the caller ID the customer will see is the caller ID of your business – not the cellular phone.

This eliminates the need for two different telephone numbers, and also protects the employer’s customer base contacts. For example, if a sale representative from you company leaves you don’t have to worry about his customers following. When they call the office line you simply reroute the calls to another employee. No more wondering why you lost your customers.

Remote Access
Fax to Email

IPFONE supports standard (0-9), multi digit (0-99) and PIN based IVR types. Other features include:

Operation times set by day or date
This allows all incoming calls to be sent to specific extensions, operator or voicemail depending on the time of the day or date.

Direct dialing of user extensions (this feature can be set to on or off)
This allows callers to dial extensions directly.

Ringing options
Once a caller has made a choice it can hear:
ringing, music on hold or silence

Rings to answer
How many rings before IVR answers

Account access only
Allows caller to enter account number in order to proceed further. If the caller does not enter a valid account number, the caller is then given the opportunity to be connected to an extension.

Status can be set to on or off
IVR normally operates in "on" status. However, sometimes it may be necessary to send all calls to an operator. This is achieved by switching "off" the IVR.

Custom greetings upload
Custom greetings can be uploaded to the server using a web browser.

Operator extension
If IVR is switched off, this is an extension that will receive all calls.
